Job Description: Equipment Maintenance Supervisor

Position Title: Equipment Maintenance Supervisor
Reports To: Operations Manager
Department: Fleet & Mechanical Equipment Maintenance
Location: 5917 Kister Rd, Niagara Falls, ON
Schedule: Mon-Fri, 9:00 AM – 5:00 PM (Occasional Saturdays available (or required during peak season))

Employment Type: Full-Time
Compensation: Based on experience; includes benefits after 3 months

Position Overview

Note: This role is responsible for maintaining all fleet vehicles and mechanical equipment but does not include the management of climbing or rigging gear.

The Equipment Maintenance Supervisor ensures that every vehicle and piece of mechanical equipment at Pineridge Tree Service is safe, reliable, and ready for production.

This position combines hands-on repair work with shop supervision — performing diagnostics, coordinating maintenance through Fleetio, and communicating daily with the Operations Manager. The Equipment Maintenance Supervisor oversees a shop helper and may direct additional mechanical staff as the company grows.

Core Purpose

To lead the maintenance and repair of Pineridge's vehicles and mechanical equipment while collaborating with management to develop systems that minimize downtime, control costs, and support the safe, efficient operation of all crews.

Key Responsibilities

  1. Mechanical & Diagnostic Work

· Diagnose and repair diesel and gasoline trucks, trailers, and mechanical equipment including but not limited to:

o Hydraulic systems (booms, stabilizers, pumps, hoses),

o Brakes, driveline, steering, and suspension systems,

o Electrical systems and lighting,

o Engine and transmission issues.

· Perform scheduled and preventive maintenance on all fleet assets including but not limited to:

o Bucket trucks, chipper trucks, pickups, vans, and cars,

o Chippers, stumpers, mini skid steers, and trailers,

o Chainsaws, blowers, trimmers, and other powered small-engine tools.

· Conduct pre- and post-repair inspections, ensuring all work meets company and safety standards.

· Maintain shop equipment and service truck in safe, working condition.

· Respond to field breakdowns promptly and perform mobile repairs when required.

2. Fleet Management

· Use Fleetio to log all repairs, track costs, manage work orders, and monitor preventive maintenance schedules.

· Coordinate with external vendors for:

o Annual MTO inspections and certifications,

o Hydraulic inspections and testing,

o Specialty or warranty repairs,

o Manage parts ordering, inventory, and supplier relationships.

· Track and report on recurring mechanical issues, recommending replacements or upgrades.

· Work with the Operations Manager to forecast mechanical equipment lifecycle and capital needs as well as setting an annual budget for Preventative Maintenance & Repairs.

  1. Supervision & Leadership

· Supervise and train a Shop Helper, delegating daily cleaning, organizing, and basic maintenance tasks.

· Communicate with crew leads and supervisors to prioritize mechanical repairs.

· Ensure the shop remains organized, compliant, and safe at all times.

· Lead by example, fostering a culture of accountability, quality, and safety.

Qualifications & Experience

· Minimum 5 years' experience repairing and maintaining light to heavy trucks and mechanical equipment.

· Strong knowledge of hydraulic, mechanical, and electrical systems.

· Comfortable using computers, mobile apps, and digital maintenance systems with experience using maintenance tracking software (Fleetio or equivalent).

· Valid DZ-class driver's license.

· Trade certification (310T/310S) is an asset but not mandatory.

· Excellent communication and time-management skills.

· Must supply own hand tools; specialty and diagnostic equipment provided by the company. Tool allowance available after probation period.

Leadership & Accountability

The Equipment Maintenance Supervisor owns the day-to-day maintenance program and is accountable for:

· Fleet readiness and uptime.

· Maintenance cost tracking and adherence to budget.

· Accuracy of all Fleetio data and reports.

· Shop organization and safety compliance.

· Development of the helper or apprentice under their supervision.

· Weekly Fleetio summary report submitted to the Operations Manager, including upcoming PM needs, parts on order, and equipment at risk of downtime.

Emergency Call-Out Expectations:

· Emergency callouts may occur but are expected to be infrequent and scheduled whenever possible.

Decision Making Authority

· Pre-Approved for parts purchases up to $1500 per repair.

· Schedule PMs and downtime.

· Declare equipment out-of-service when unsafe.

· Recommend replacements to Operations Manager.

Key Performance Indicators (KPIs)

· Fleet Uptime: 95% (excluding PM downtime) of vehicles and mechanical equipment available for work each day.

· PM Compliance: 95% of preventive maintenance tasks completed on schedule.

· Fleetio Utilization: Accurate, timely updates on all service logs.

· Maintenance Cost Efficiency: Annual Preventative Maintenance and Repair costs maintained within the approved budget (target: ≤5% of annual revenue).

Working Conditions

· Primarily shop-based, with occasional field work in all weather conditions.

· Frequent lifting (up to 50 lbs), bending, climbing, and operating hand/power tools.

· Exposure to noise, exhaust, hydraulic fluids, and moving machinery.

· Proper PPE must be worn at all times; coveralls and safety gear provided.
