Summary

The Coordinator supports both Service and Project Management teams by handling scheduling, invoicing, documentation, and material procurement. This role helps coordinate projects from start to finish, maintains communication between clients, consultants, and trades, and ensures all reports, submittals, and project documents are accurate and up to date. The Coordinator also assists with commissioning, cost tracking, and preventive maintenance programs while upholding company standards of quality, safety, and professionalism.

Service Responsibilities:

  • Prepare and submit invoices, service report and service quotations to client after Project Manager's review.
  • Order materials and equipment for jobs as instructed by Project Manager.
  • Keep Project Manager informed about job status and any issues that may impact client relations.
  • Assist Project Manager with maintaining Preventive Maintenance agreements, including billing, scheduling, ordering materials, updating database and contract renewal.
  • Prepare Quarterly On-call schedule (To be completed in rotation between all coordinators)

1. Project Responsibilities:

  • Review project specifications, drawings, and contract documents
  • Coordinate and chair kickoff and coordination meetings with all trades
  • Coordinate trade sequencing with other trades (electrical, architectural, structural) when acting as Prime Contractor
  • Integrate all trade activities into one master project schedule
  • Liaise directly with client, consultants, and site inspectors for project updates and issue resolution
  • Backflow organization and execution

2. Scheduling & Planning

  • Assist Project Manager in developing and maintaining the overall construction schedule for all disciplines

3. Documentation & Reporting

  • Document control including drawing sets, RFIs, submittal logs, field reports, invoices, etc..
  • Prepare and distribute weekly progress reports and site photos as needed.

4. Procurement & Material Control

  • Issue and track purchase orders for equipment, materials, and subcontractor services

5. Communication & Stakeholder Liaison

  • Assist Project Manager in serving as the primary liaison between client, consultants, and all subcontractors
  • Assist Project Manager in Communicating design clarifications, change notices, and field directives to all affected parties
  • Maintain consistent correspondence with suppliers, engineers, and site supervisors
  • Ensure clear documentation of discussions and decisions from all meetings

6. Financial & Cost Tracking

  • Invoicing Monthly billing
  • Accounts receivable to be reviewed with project manager.
  • Support project manager with budgeting, change orders, and cost tracking
  • Track labour hours and productivity against budgeted targets

7. Commissioning & Close-Out

  • Assist Project Manager in coordinating system testing, balancing, and commissioning for all mechanical systems
  • Ensure documentation of start-up procedures and commissioning results
  • Compile and verify O&M manuals, warranty certificates, and training documentation
  • Coordinate final inspections and consultant sign-offs

8. Leadership & Professional Conduct

  • Represent the company professionally in all meetings and communications
  • Promote teamwork and accountability across all site personnel and trades
  • Provide support to site foremen and junior coordinators
  • Uphold company policies, values, and standards of quality and safety
  • Maintain confidentiality of project and client information

We offer a competitive hourly rate, dependent on qualifications and experience; full benefit package and RRSP contributions after the probationary period.

Job Type: Full-time

Pay: $25.00-$29.00 per hour

Expected hours: 40 per week
