About
Our client, a leader in designing and building creative outdoor recreation spaces, is seeking an organized and detail-oriented Administrator with experience in landscape construction. This role supports the installation and execution of playground and recreational structure projects — from post-design through ordering, scheduling, tracking, and completion.
This is an excellent opportunity for someone who enjoys both hands-on project coordination and administrative precision. You'll work closely with internal teams, suppliers, and vendors to ensure projects are delivered efficiently, safely, and on schedule.

Key ResponsibilitiesDaily / In-Season Focus:
Follow up on issued quotes and ensure timely communication and updates.
Manage and organize project data and correspondence using HubSpot and Office 365.
Coordinate orders, deliveries, and installations for playground and landscape projects.
Handle vendor communication, manage purchase orders (POs), and resolve shipment issues.
Track and address damaged products or component replacements as needed.
Maintain a clean, organized workspace and filing system.
Respond quickly to issues or emergencies, taking initiative to find solutions.
Off-Season Focus:
Prepare accurate estimates and quotations for playground and site furnishing projects.
Solicit and evaluate quotes from suppliers and subcontractors.
Draft proposals and manage project documentation.
Support sales and design teams with accurate pricing and technical information.
Participate in planning meetings to forecast upcoming construction seasons.
QualificationsProven experience in landscape construction coordination, playground installation, or related outdoor project environments.
Strong proficiency in Microsoft Office 365 (Excel, Word, Outlook, Teams) and HubSpot (or similar CRM systems).
Excellent organizational, administrative, and communication skills.
Ability to work both independently and collaboratively in a small, fast-paced team.
Strong attention to detail and commitment to accuracy.
Valid driver's license and personal vehicle (required).
Knowledge of playground safety standards (CSA Z614) is an asset, but not required.
