About the Role
We are looking for a detail-oriented and proactive Accounts Payable Specialist to join our Finance team. This role is essential in managing the end-to-end accounts payable process, ensuring timely and accurate processing of invoices, vendor payments, and intercompany transactions. The ideal candidate will thrive in a fast-paced environment, demonstrate strong organizational skills, and collaborate effectively with cross-functional teams.
What you'll be doing
Invoice & Payment Processing
- Review, code, and process a high volume of vendor invoices, including subcontractor, marketing, and intercompany transactions.
- Manage purchase order (PO) matching, receiving, and reconciliation.
- Coordinate and process bi-weekly and monthly payments
- Maintain accurate records of all AP transactions and ensure timely payments.
Vendor & Intercompany Management
- Set up and maintain vendor profiles, including banking and EFT information.
- Communicate with vendors and internal stakeholders to resolve discrepancies and ensure compliance with company policies.
- Process and reconcile intercompany invoices and payments across multiple entities and currencies.
Reporting & Reconciliation
- Prepare and update AP cash flow forecasts and large invoice tracking.
- Reconcile distributor statements and bank accounts.
- Support month-end and quarter-end close activities, including accruals and reporting.
Compliance & Support
- Collaborate with procurement, sales, and finance teams to resolve invoice and PO issues.
- Assist with audits and provide documentation as needed.
- Maintain and update internal trackers for cloud services, marketing, and other recurring expenses.
What you have
- 3+ years of experience in Accounts Payable or a similar finance role.
- Strong proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP, data validation)
- Experience with ERP systems (e.g., Microsoft Dynamics GP) is an asset
- Strong attention to detail and ability to manage multiple priorities.
- Excellent organizational and time management skills
- Strong communication and problem-solving abilities
- Experience with intercompany transactions and multi-currency environments is an asset.
