Job DescriptionWe are looking for a Project Coordinator to join our team. The ideal candidate is detail-oriented, organized, and has strong planning skills to manage technical coordination and support field teams. You will play a key role in managing various projects, ensuring efficiency and quality of operations while maintaining proactive communication with our clients.
Main Responsibilities- Prepare project opening and closing documents: Draft opening notices, compliance certificates, guarantees, and closing documents to ensure regulatory compliance.
- Manage purchase orders: Prepare orders, include necessary purchase conditions, and track deliveries with manufacturers.
- Draft and administer subcontractor agreements: Create contracts as needed and ensure compliance before work begins.
- Contribute to Health, Safety, and Prevention (PSST/PSSS): Participate in implementing prevention plans, monitor compliance, and communicate requirements to teams and subcontractors.
- Ensure subcontractor compliance: Verify commitment letters and send prevention and safety plans before work starts on site.
- Coordinate shop drawings and technical Q&A (QRT): Request, track, and validate technical drawings and questions/answers to ensure accuracy of deliverables.
- Organize and structure project files on platforms: Manage documents and plans on ACC, SharePoint, and other collaborative tools for efficient access.
- Plan and lead project meetings: Organize follow-ups, draft meeting minutes, and ensure agreed actions are completed.
- Perform regular follow-ups on deliverables: Monitor progress on drawings, QRTs, submissions, and other key elements in collaboration with the project manager.
- Relevant experience: 2 to 5 years in a similar role (project coordination or administrative work in construction).
- Bilingual (French and English): Essential, both spoken and written.
- Strong technical skills: Ability to draft official documents (letters, contracts, notices, certificates, etc.), manage multiple tasks simultaneously, and set priorities.
- Proficiency in Microsoft Office Suite: Skilled in Word, Excel, PowerPoint, and MS Project.
- Personal qualities: Highly organized, sense of urgency, discretion, and ability to manage multiple files in a dynamic environment. Autonomy, proactivity, and strong sense of responsibility.
- Client, supplier, and subcontractor focus: Strong customer service orientation with a proactive, solution-driven approach.
