Governance & Personnel Support Administrator (Maternity Cover)

Place of Work: Based in the Students’ Union on the Coleraine Campus
Reporting To: Director of HR and Campus Operations
Hours: 20 hours per week (hybrid working available)
Contract: Fixed Term Contract until February 2027
Salary/Grade: Single Pay Spine Grade 5 £28,778 per annum (pro rata)

Purpose:

To provide a comprehensive clerical and administration services to the Students’ Union, with specific oversight across its core governance functions of Trustee Board, maintaining the required confidentiality. To also provide executive assistance to Student Officers and SMT as required.

KEY RESPONSIBILITIES:

1. To provide a clerical and administration support function across the HR and governance arms of the organisation as directed by the Director of HR and Campus Operations.
2. Provide ad-hoc executive assistance to both the Student Executive and Senior Management Team as required and directed.
3. Provide all the paperwork and maintain associated confidentiality to both Trustee Board and Student Council, including the planning and preparation of meetings.
4. Attend Trustee Board and Student Council meetings to take notes and actions to be published to members, always maintaining associated confidentiality.
5. Be a support for Student Executive and Management Committee meetings, logging actions and confidentially circulating to participants.
6. Manage the diaries of the Student Officer Team, planning in any recurring meetings and organisingjoint meetings with University colleagues and external stakeholders.
7. Support across all appropriate HR and general operations as directed by the Director of HR and Campus Operations or the HR Advisor, to include being the nominated monitoring officer and liaising with the Director of HR and Campus Operations on Equality returns.
8. Log any faults, minor improvement requests or maintenance needs as required on an annual cycle or as identified and agreed with the Director of HR and Campus Operations.
9. Feed into the wider organisation in any wider required administration and meeting support, including the taking of minutes / actions where required, filing, collating documents, photocopying, and ensuring back-up documentation is in place where needed for audit purposes.
10. Where needed, collect and signpost enquires taken on campus to pass onto the relevant member of staff or elected Student Officer.
11. Provide cover and support at the appropriate level when required and as further directed by the Director of HR and Campus Operations.
12. Support the day to day running of the Union on the base campus, and as required provide a welcome and reception service to members.

GENERAL

The Governance & Personnel Support Administrator will:

(1) At all times by word and deed portray a positive image of the Ulster University Students’ Union.
(2) Set high standards of integrity, punctuality, accuracy, politeness and professionalism by personal example.
(3) Undertake such other duties as instructed, as are within the scope and spirit of the job purpose, the title of the post and its grading.

NOTES

(1) For full and effective discharge of duties, the post will, at times, require additional commitment over and above normal office hours. The post-holder is expected, within reason, to undertake such hours as are necessary to successfully perform the duties of the post. Overtime is not payable but Flexible/Time Off in Lieu (TOIL) may be agreed with the relevant line manager as appropriate.
(2) The post-holder is expected to undertake networking and development opportunities as appropriate to the post. This will include occasional time away from home.
(3) Any information and data provided to the Students’ Union and used directly or indirectly in your role shall always remain the property of the Students’ Union.
(4) Staff of the Students' Union are employees solely of the Students' Union and NOT of the University.
