We are looking for the very best to join our AAA 4‑Diamond Hotel, featured in the Top 10 of all Meeting Hotels in the United States per Cvent. We are seeking a highly motivated and detail‑oriented Sales System Administrator to provide administrative and systems support to the Sales team while ensuring the accuracy and integrity of sales and booking data across hotel systems. This is an on‑property position and will report directly to the Director of Sales and Marketing. This position plays a critical role in supporting Sales Managers, maintaining booking accuracy, managing system administration functions, and coordinating client site inspections. The ideal candidate is organized, proactive, service‑oriented, and eager to take on additional responsibilities as business needs evolve. Success in this role requires strong attention to detail, excellent communication skills, the ability to learn new technology platforms, and the capacity to manage multiple priorities in a fast‑paced hospitality environment.
Responsibilities Primary Sales System Administrator responsibilities include:
Actualize bookings in Envision (EOI‑enabled).
Enter audit totals for actualized bookings.
Process definite changes and booking addendums.
Turn tentative bookings to definite status.
Process definite bookings for cancellation.
Manage Sales Incentive Plan adjustments.
Process attrition fees and cancellation fees.
Review and process Food & Beverage minimum exceptions.
Review and process miscellaneous booking exceptions.
Complete rate confirmations for citywide bookings.
Conduct booking audits and system reviews as needed.
Maintain and update Deployment Manager records.
Process multiblock requests from Reservations.
Maintain user profiles and system permissions.
Redistribute bookings due to Sales Manager turnover or territory changes.
Transfer and terminate employee records within Redistribution Manager.
Coordinate site inspection logistics and scheduling.
Complete additional system administration tasks and miscellaneous projects as assigned.
Additional Sales Administrative Support may be needed to include the following:
Provide administrative support to Sales Managers.
Assist with client correspondence, proposals, reports, and departmental projects.
Coordinate and facilitate hotel site inspections and property tours for prospective clients.
Maintain organized records, files, and sales documentation.
Support departmental initiatives and special projects as assigned.
Foster positive relationships with internal departments and external clients through exceptional customer service.
Qualifications Required
Minimum one (1) year of administrative, sales support, hospitality, or related experience.
Strong organizational skills with exceptional attention to detail.
Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
Ability to prioritize tasks and manage multiple deadlines simultaneously.
Strong verbal and written communication skills.
Ability to learn new software applications and hotel systems quickly.
Professional demeanor with excellent customer service skills.
Ability to work independently and collaboratively in a team environment.
Preferred
Experience in hotel sales, catering, reservations, revenue management, or hospitality operations.
Experience with Envision, Delphi, Salesforce, Opera, or similar hospitality sales and property management systems.
Knowledge of hotel group sales processes and contract administration.
Experience coordinating client events, site visits, or inspections.

The wage range for this position is $32 to $35/hr. This is the pay range that Manchester Grand Hyatt San Diego reasonably expects to pay. Decisions regarding individual salaries will be based on a number of factors, such as experience and education.
