Job Title: Community Dental Assistant Program Manager Department: Dental Reports To: Community Dental Program Manager II Work Type: On-Site Classification: Exempt Language Differential: Eligible SUMMARY The Community Dental Assistant Program Manager supports the Community Dental Program Manager in the effective and efficient management of the Community Dental Program and School-Based Health Center Dental services. This role facilitates a collaborative approach to compassionate care by providing essential operational, administrative, and day-to-day management support across community-based settings. The Assistant Manager partners with the Community Dental Program Manager II to proactively manage program logistics, scheduling, outreach coordination and staff supervision to assure optimal care and customer service are delivered efficiently and in alignment with organizational goals. Essential Job Duties
Assists and collaborates with the Community Dental Program Manager II to ensure effective, efficient, and safe operations across all Community Dental and School-Based Health Dental services, responding to the needs of patients, clinicians, and community partners. Manages scheduling, logistics, and provider schedules for all Community Dental and School-Based Health Center Dental services.
Coordinates and schedules outreach events, clinical events, and school-based activities, managing logistics and seamless distribution of consent forms, incentives, materials, and clinical supplies. Implements and maintains standardized workflows, tools, and forms in collaboration with the Community Dental Program Manager II. Represents NHC at community meetings, outreach events, school meetings, and school staff presentations, meeting with school administrators and staff to support program coordination and implementation. Tables at outreach events and acts as learning lab staff as needed. Assists the Community Dental Program Manager II with interviews, hiring, corrective action activities, and performance management in partnership with Human Resources. Partners with the Community Dental Program Manager II to conduct standard work audits, ensuring compliance with established workflows, documentation standards, and overall operational efficiency across programs. Supports Community Dental Program Manager II in fostering a culture of accountability, engagement, collaboration, and continuous improvement, while providing an environment to promote support staff's ongoing learning and personal growth. Supervise Community Dental staff, providing onboarding, training, scheduling, and daily operational support. Monitors and orders clinical, outreach, and office supplies to ensure programs are adequately resourced within established budget parameters. Collaborates with the Community Dental Program Manager II on budget monitoring and monthly review of budget versus actual performance. Collaborates with the Community Dental Program Manager II and other leaders to develop, implement, and update policies and procedures related to Community Dental operations. Conducts staff meetings to ensure effective communication of program, site, and organizational information. Assists Community Dental Program Manager II in evaluating metrics and supports quality and process improvements initiatives. Recognizes and responds to operational opportunities, including the need for additional staffing or training, in close collaboration with the Community Dental Program Manager II. Assures a safe, productive, and supportive work environment, acting as a role model for behavior expectations and clinic policies. Perform other duties as assigned. Education and/or Experience
Bachelor's degree in healthcare or related field preferred.
At least 2 years of experience managing or supervising staff in a dental or other healthcare setting is required. A combination of experience and training that would likely provide the required knowledge and abilities may be qualifying. Knowledge, Skills, Abilities & Behaviors
Knowledge of healthcare operations, industry best practices, and regulatory requirements. Detail-oriented, with strong organizational, communication and problem-solving skills, including the ability to manage competing priorities across multiple sites and programs while meeting deadlines. Demonstrated experience supervising staff, coordinating schedules and logistics, and managing workflows; experience coordinating outreach or school-based services highly preferred. Positive and effective relationship building skills, with the ability to interact with school staff and partners and build and sustain relationships Strong professional communication skills, both orally and in writing, with the ability to champion a collaborative, service- oriented environment.
Critical and analytical thinking skills to anticipate and respond to issues as they arise. Ability to be self-directed and work independently with limited supervision. Budget monitoring or financial oversight experience. Approachable with negotiations skills and the ability to work effectively with a variety of personalities and styles.
Desire to expand knowledge from both a clinical and administrative perspective, including management and leadership skills. Ability to learn LEAN concepts to support continuous process improvement.
Intermediate or higher proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat. Experience working with electronic health records, preferably EPIC. Knowledge of dental/medical setting. WORKING CONDITIONS
This position is full-time and must generally be present during core business hours. Must be able to travel during the course of the workday for meetings, program activities, trainings, and between various school and community locations. Flexibility to work early mornings, evenings or weekends as needed to support community events is required. The noise level in the work environment is usually moderate. While performing the duties of this job, the employee is occasionally exposed to toxic chemicals or blood borne pathogens. Regularly sit while working on the computer; use hands and fingers to handle, control or feel objects tools or controls; repeat the same movements when entering data; ability to differentiate between colors, shades, and brightness; read from a computer screen for extended periods of time. Frequently stand and walk around the office to gather supplies, required to do filing, use office equipment, or collaborate with employees. Occasionally stand, stoop and lift or move objects, equipment and supplies weighing approximately 20-25 pounds up to 40-50 pounds.
