Le poste de coordonnateur(trice), bureau et talents est un rôle polyvalent conçu pour assurer l'excellence opérationnelle au niveau exécutif tout en propulsant la croissance de l'entreprise par le recrutement complet. Ce poste équilibre le soutien administratif et personnel de haut niveau pour le président et le chef de la direction financière avec l'exécution proactive de l'acquisition de talents et de l'intégration. Principales responsabilités
Administration de la haute direction (40 %)
- Gérer de manière proactive des calendriers complexes, planifier des réunions et fournir des comptes rendus quotidiens au président et au chef de la direction financière.
- Superviser et prioriser les communications entrantes et sortantes afin d'assurer des réponses professionnelles dans les délais prescrits.
- Coordonner tous les arrangements de voyages d'affaires, y compris les itinéraires et l'hébergement, et préparer les comptes de frais.
- Préparer et réviser les documents, présentations et rapports pour la direction et les réunions.

- Identifier, interviewer et évaluer les talents pour tous les postes, en veillant à offrir une expérience de qualité aux candidats.
- Collaborer avec les gestionnaires d'embauche pour comprendre les besoins et élaborer des plans de recherche de candidats et de recrutement innovants.
- Faciliter le processus d'offre en rédigeant et en coordonnant les détails de l'offre, en agissant comme liaison entre les gestionnaires d'embauche et les candidats pour assurer une conclusion fluide.
- Tenir à jour toute la documentation d'intégration et assurer le suivi auprès des employés durant leurs 90 premiers jours.
- Exécuter le projet de migration des dossiers physiques vers le format virtuel avec une attention méticuleuse à l'intégrité des données et une discrétion absolue.
Qualifications
- Plus de 2 ans d'expérience à titre d'adjoint(e) de direction auprès de cadres de direction et/ou plus d'un an d'expérience en recrutement.
- DEC en administration des affaires ou dans un domaine connexe.
- Fortes capacités d'organisation et de multitâche, avec une approche proactive.
- Exceptionnelles compétences en communication et en relations interpersonnelles.
- Discrétion sans faille concernant les informations sensibles.
- Maîtrise avancée de la suite Microsoft Office.

Office & Talent Coordinator
The Office & Talent Coordinator is a dual-purpose role responsible for ensuring operational excellence at the executive level while fueling the company’s growth through full life-cycle recruitment. This position balances high-level administrative and personal support for the President and CFO with the proactive execution of talent acquisition and onboarding. The ideal incumbent of this role maintains steady momentum on long-term initiatives, ensuring consistent productivity and absolute discretion regardless of shifting daily volumes.
Key Responsibilities
Executive Administration (40%)
- Proactively manage complex calendars, schedule meetings, and provide daily briefings for the President and CFO.
- Oversee and prioritize incoming and outgoing communications to ensure timely and professional responses.
- Coordinate all business travel arrangements, including itineraries and accommodations, and prepare expense reports.
- Prepare and review documents, presentations, and reports for executive and meetings.
- Coordinate personal appointments, household schedules, family-related commitments, and personal/work travel logistics and reservations.
Office Administration & Event Execution (20%)
- Act as the primary executor for company events, collaborating with the social committee to manage logistics and planning from concept to completion.
- Provide administrative assistance to the services team and respond to facility-related tickets or updates.
- Monitor office supply inventory, manage maintenance requests, and serve as the liaison with external service providers.
- Assist in monitoring facilities-related expenses & budget and maintaining accurate records.
Recruitment & Talent Coordination (40%)
- Identify, interview, and assess talent for all positions, ensuring a high-quality candidate experience.
- Partner with hiring managers to understand needs and develop innovative sourcing and recruitment plans.
- Facilitate the offer process by drafting and coordinating offer details, acting as a liaison between hiring managers and candidates to ensure a smooth closing.
- Maintain all onboarding documentation and conduct follow-ups with employees during their first 90 days.
- Execute the physical-to-virtual file migration project with a meticulous focus on data integrity and uncompromising discretion.
Qualifications
- 2+ years of experience as an Executive Assistant supporting C-level executives and/or 1+ years in recruitment
- DEC in Business Administration or related field
- Strong organizational and multitasking abilities, with a proactive approach
- Exceptional communication and interpersonal skills
- Uncompromising discretion regarding sensitive information
- Advances proficiency in Microsoft Office
- Ability to adapt to changing priorities
