About

We’re looking for a
Project Coordinator
who will support the successful execution of utility and industrial service projects by assisting with the planning, coordination, and administrative functions required throughout the project lifecycle. Acting as a central point of communication between Project Managers, Project Engineers, Regional Supervisors, and internal support teams, the Project Coordinator ensures that all necessary project information, documentation, materials, and financial data are accurate, up to date, and available at all phases of execution.
What You’ll Do
Create, organize, and maintain administrative and financial project documentation from order entry through invoicing.
Support communication across teams by providing updates on engineering statuses and preparing weekly production reports.
Attend production meetings and collaborate across departments to ensure schedule alignment and information sharing.
Process requisitions and manage material orders to vendors; track delivery timelines and resolve procurement issues.
Assist Project Engineers with BOM documentation and evaluate supplier quotes for technical compliance.
Prepare and manage submittals, RFIs, and change orders per contractual obligations.
Monitor daily, weekly, and monthly project reports to ensure timelines and budget compliance.
Conduct initial reviews of contracts and specifications to identify milestones and safety requirements.
Coordinate with Accounting to ensure ERP project setup and invoicing align with client agreements.
Maintain inventory records to track material costs and reduce waste.
Collaborate on maintaining project schedules and ensure milestone adherence.
Coordinate project logistics such as equipment rentals, mobilization, and travel accommodations.
Ensure accurate time entry for job costing and payroll.
Support safety audits, site reporting, and post-project analysis.
Assume other duties as assigned.
The Experience We’re Looking For
High school diploma or GED.
A minimum of 2 years of relevant experience in project coordination, construction, energy, or technical services.
Ability to maintain confidentiality and handle sensitive information with discretion
Proficiency with Microsoft Office (Word, Excel, PowerPoint)
Self-motivated, organized, and comfortable working both independently and in a team
Familiarity with recruiting or HR software and ATS tools is preferred but not required
Strong written and verbal communication skills and a helpful, customer-focused approach
Solid time management and decision-making skills with attention to detail
Additional Requirements
Ability to travel up to 10% throughout the continental USA, reflecting flexibility and commitment to project needs.
Ability to pass a stringent drug screening and background check, ensuring compliance with organizational standards and policies.
Hold a valid and current driver's license.
Bonus Points For
Bachelor’s degree in Business Administration , Engineering, Project Management, or a related field from an accredited institution.
PMI or CAPM certification
Familiarity with ERP systems and project tracking software.
Experience with documentation management systems.
Experience posting jobs and engaging candidates on social platforms
Experience with ATS platforms or CRM-style candidate tracking
