Gibson Hotel Management Inc. has an exciting career opportunity for a full-time Sales Coordinator assisting with several properties! Under the general guidance of the Director of Sales, the Sales Coordinator will be responsible for detailing all the room requests for groups in the hotel, by communicating with all departments, and being the single point of contact for the meeting planner once the group has been booked by the Sales Team. The ideal person will coordinate a seamless booking process, handle all meeting planner requests, and ensure all necessary details are taken care of for our groups and guests.
General Duties & Functions:
Manage and update the hotel group rooms and function space booking program (i.e. Salesforce, On-Q and Merlin) by communicating with Director of Sales on a daily basis. Coordinate and service all guest room requests from groups once the contract has been signed, collect Group rooming lists and make reservations, ensure all billing is detailed and communicated properly to all departments and planners. Coordinate and Relay all details of group room bookings and cancellations to hotel management team through detailing of group resumes Ensure that the function space signage has been created and is setup as required per the meeting planner Work with the Sales team on any special requests or needs such as Welcome notes and VIP Amenities for guests Adhere to the highest standards of professional contact with clientele, including a follow up call or thank you letter to meeting planner post-event Coordinate with the Sales Manager on closing out groups and work with Accounting Manager to ensure invoices and receipts have been sent to the meeting planner and Event Reward Points have been posted to the planners account Assist Sales Managers on assigned projects and research Run the weekly Sales reports for Director of Sales and send to Corporate office Coordinate all reservations requests for our business transient accounts Managing of all general office administration needs
Note: other duties and responsibilities may be necessary as business demands
Skills and requirements: Minimum of three years customer service preferably in the Hospitality industry. Ability to develop an understanding of concepts, practices, guidelines, and procedures used by the company in relation to guest services. Excellent written and verbal communication skills. Knowledge of Property Management Systems a plus. Must be proficient with computers.
Hours: 40 hours a week
Shift: Monday-Friday 8:00AM-5:00PM
