Position Overview:
The Customer Service Representative is responsible for performing tasks relative to scheduling, order tracking and communication with patients/clients and the VA. This position reports directly to the Customer Service Manager.

Assisting in day-to-day operations: scheduling appointments, returning calls, responding to inquiries, verifying all required paperwork is provided by delivery pickup repair staff, monitoring communications from customers, creation of files for delivery/ serviceEnsure all messages have been retrieved and return calls madeUpdate notes in website; contact VA purchasing agents by phone and email as neededOrder all parts that were approved by the VA; data enter all PO's for parts ordered; charge up PO's in TIMS once parts are ordered; deplete inventory on patient order Schedule deliveries and pickups with the patient as neededEnter orders on website for all rehab orders received from the VAForward rehab orders to purchasing to be ordered and update websiteAssist with obtaining quotes for RehabAssist with scheduling Rehab evaluations and deliveriesWorks open order reports, open scheduled and equipment receive reportsAssists with resending open work orders and resolution of issuesFile away all completed orders; place all files in designated locations, by status in active file drawerCheck work area to ensure that files are not exposing patient informationComplete daily status reportGeneral office duties and other tasks as neededResponsible for any additional assignments requested by the Customer Service Manager, President or any other ManagerRegular attendance is a necessary and essential function of the jobMust complete 10 hours of continuing education credits, relevant to this position
Minimum Qualifications:
Graduate from an accredited High School, or GED equivalentExcellent communication/phone and customer service skillsPrevious data entry experienceTyping and ten key skillsProficient knowledge in the Microsoft Office Professional SuiteDetail OrientedProblem SolverAbility to multitaskMust be able to read and speak English fluently Responsible and cooperative attitude
