Sales Quote Coordinator

The Sales Quote Coordinator serves as a primary internal point of contact for customers and prospects. Working mainly by phone and email, this role helps determine customer requirements, develops appropriate product and system solutions, prepares quotations, and resolves product-specific questions while building strong customer relationships and ensuring satisfaction.

Primary Responsibilities

Develop and maintain a solid understanding of all offered products and the typical applications in which they are used

Determine customer needs and create both parts and systems quotations in response to inquiries

Provide technical information such as drawings in support of quotations and customer requests

Stay informed on major quotations and collaborate with outside sales, market development, or others to position the company competitively

Handle routine customer requests including price and availability, quote status, order status, and shipment information

Log customer complaints or concerns immediately upon receipt

Involve technical personnel promptly for more complex issues or product concerns

Generate engineering requests for new part numbers, bills of material, or similar activities

Secondary Responsibilities

Routinely update and maintain customer records in the appropriate system during and after interactions

Assist with rescheduling orders with manufacturing as needed

Support quality and environmental, health, and safety policies

Uphold core organizational values

Travel is infrequent but may be required occasionally to support trade shows, visit customer facilities, or job sites to better understand applications, markets, field issues, or product usage.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Education and Experience

Associate's degree (A.A.) or equivalent from a two-year college or technical school; or six months to one year of related experience and/or training; or an equivalent combination of education and experience.

Qualifications

To perform this role successfully, an individual must be able to carry out all essential duties. Key qualifications include:

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations

Ability to write reports, business correspondence, and procedure manuals

Ability to effectively present information and respond to questions from managers, clients, customers, and the public

Ability to calculate figures and amounts such as discounts, profit, gross margin, proportions, percentages, area, circumference, and volume; apply basic algebra and geometry concepts

Ability to define problems, collect data, establish facts, and draw valid conclusions; interpret a wide variety of technical instructions in mathematical or diagram form and deal with abstract and concrete variables

No specific certificates or licenses required

Physical Demands

Regular sitting, hand use for computer work, and verbal communication required. Frequent walking; occasional standing, climbing, balancing, stooping, kneeling, or crawling. Occasionally lift and/or move up to 20 pounds. Close vision, distance vision, and ability to adjust focus required.

Work Environment

Occasional exposure to moving mechanical parts and fumes or airborne particles. Noise level is usually moderate.
