About
Incumbent performs a variety of administrative functions associated with patient care and treatment for several specialty outpatient and/or Mental Health clinics, performing a variety of services. Employee must acquire knowledge of internal organizational procedures, knowledge of various facility services, VA acronyms and abbreviations. The Incumbent supports patient safety standards using the correct Veterans Affairs identification of all patients using two forms of identification. The patient may also present the Veterans Health Identification Card (VHIC) for identification. Incumbents will coordinate with patient care team to review clinic utilization by using various reports and communication methods to effectively support the needs of the clinic. The incumbent(s) is responsible for accurate appointment management and the coordination of all administrative information between the professional staff and the patient. This includes updating and verifying demographic information, scheduling appointments, collecting insurance information, data entry, administratively managing consultation requests and the electronic waiting list, and notifying the patient of his/her scheduled appointment. He/she must use each interaction with the patient to validate and update patient demographic information, either in person during check-in or over the phone, to decrease the incidence of returned mail due to incorrect addresses and inability to contact patient by phone due to incorrect number. Incumbent must assist and train new staff in orientation activities through shared knowledge and specific outpatient or mental health clinic expertise. Incumbent(s) will be able to interpret and communicate requirements of VHA Scheduling Directives and other MSA duties as follows: - Schedule appointments and utilize the Electronic Waiting List accurately in a timely manner. All appointments will be made with the patient's input, either in person or by phone. This may require a high level of coordination to avoid patients having to make multiple trips to the medical center or clinic whenever possible. - Notifies his/her supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes. - Daily review of active/pending consults, Electronic Wait List, Recall list and Audiocare communications for accuracy and disposition Performs other duties as assigned.
