About

Medical Office Assistant This incumbent of this position works in the Health Care Center (HCC) under the direction of the Director of Health Care Services to perform administrative support duties. Responsible for answering phones to give and receive information, direct calls to appropriate HCC staff or take messages. Welcomes visitors, staff and students, logs student visit into and out of Oracle health management system (HMS), Skyward student management system and the Medical Electronic Health Record (EHR). Establishes a good rapport with students, staff, and visitors. communicates with all FSDB departments and outside agencies to facilitate appointments for assessment, diagnostics, health care treatment and follow up. Maintains supply of all chart forms and office supplies. Confirms current consent for treatment. Enters consent form and all physical dates into Oracle, EHR and Skyward student database management systems. Prints encounter sheet, superbill and provides them to nursing staff. Alerts ACU Triage nurse of patient's readiness for triage assessment, routing, treatment and follow up. Enters and scans data into appropriated systems and ensures EHR is kept updated. Schedules student in student data system for follow-up appointments. Maintains daily schedule for HCC and notifies departments on updated schedules daily. Adjusts daily schedule throughout the day to accommodate "fit in" appointments. Print Medication Administration Reports monthly and distributes to care coordinators, Medicaid, and Administrator. Maintains Biohazardous Waste pick-up contract and documentation. Responsible for electronic requisitions, access Oracle HMS for data entry and management, draft memos, send e-mails. Coordinates help requests for technology and database problems. Performs annual inventory of all HCC equipment and supplies. Generates and submits purchase order for acquisition of equipment and supplies per agency and departmental protocols. Monitors stockroom inventory on an ongoing basis throughout the school year. Schedules annual equipment inspection and calibration by outside agency and initiates recommended follow-up. Ensures that files are always available to health care staff. Maintains organization and neatness of file room. Ensures that forms, paperwork, and medical supplies are available in all examination rooms, treatment rooms and TCU. Sorts and distributes incoming mail and faxes daily to staff mailboxes or to sorting bins for forms or medication room. Alerts care coordinators and physicians regarding faxes, reports, physician orders needing review. Addresses and sends outgoing mail. Assists with the preparation, addressing and mailing of mass mailings. Schedules and arranges transportation for patient consultations and off campus health services when necessary. Other duties as assigned. Knowledge, Skills, and Abilities
Knowledge of telephone, typing, filing and data entry; Knowledge of office procedures and practice; Knowledge of basic computer software; Knowledge of record keeping procedures; Skill in using medical instruments or testing instruments; Ability to problem solve; Ability to follow instructions; Ability to complete forms and reports; Ability to communicate effectively; Ability to establish and maintain effective working relationship with others; Ability to operate general office equipment; Ability to complete training and administer skills acquired during CPR and CPI; Ability to attain sign language proficiency level in accordance with FSDB O.P.P.1.24; Ability to pass training and administer skills acquired during CPR and Non-Violent Crisis Intervention Training (CPI).
Qualifications
Three years of secretarial or clerical work experience. College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience. Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience. A high school diploma or its equivalent can substitute for one year the required work experience. Preferred Qualifications
4 years of providing administrative support (preferably in a medical setting.) 4 years of clerical office work experience in managing, coordinating, arranging meetings, preparing appointments, ordering office supplies, preparing/ updating spreadsheets, and maintaining records (preferably in a medical setting.) 4 years of experience working with Microsoft Office Suite (Word, Excel, Outlook, and Teams.)
Sign Language Requirements Applicants who are selected for hire will be required to attain Intermediate proficiency in sign language within four years of hire. Please note: The Florida School for the Deaf and the Blind provides education to acquire sign language skills. Hiring Salary Range 12-month position: $39,832.00 - $47,332.00 annually. This range is inclusive of verified experience and education. *Base $39,832.00 Associate degree addl $1500.00 Bachelor's degree addl $3000.00 Master's degree addl $4500.00 Additional Related and verified Full-time Experience (20-year max) addl $150.00 per year Hours Monday – Friday 7:00am to 3:30pm Our Benefits Include:
