We are pleased to announce a vacancy for the position of Book Stock Manager within the Dubray Support Office based in Swords. This role will oversee the companys stock range and distribution processes, ensuring optimum sales performance and operational efficiency. This role has two direct reports, the Order Administrator and Buying Administrator, and will work closely with the Retail Operations and Marketing functions and cross-functionally with the Supply Chain team. Key responsibilities include: Stock Management and Buying Oversee stockholding in stores and ensure appropriate levels are maintained. Categorise and circulate collated monthly new title information to stores, highlighting key and promotional titles. Review stores' new title subs and liaise with managers re: any amendments. Liaise with the Eason warehouse and buying teams as required for distribution of stock from the central warehouse. Produce and maintain Core Stock lists, with a full review no less than twice yearly. Work with the Buying Administrator to ensure smooth running of the returns function. Ensure Dubray promotional titles are stocked appropriately for eCommerce. Oversee company product categorisation structure in line with needs of customers and changes in the market. Manage distribution of stock between the stores if required. Review, sign and manage new title embargoes on behalf of the company. Purchase from nominated range publishers on a cyclical basis. Deal with small suppliers if necessary, including sign-off of payments. Maintain close working - relationships with publishers and attend publishing functions. Centrally manage, replenish and allocate key stock across store estate during seasonal periods Order Management Work with the Order Administrator to: Ensure all new title orders are processed correctly and in a timely fashion. Monitor key title arrivals and liaise with Eason warehouse team on deliveries. Ensure store replenishment process is running correctly. Liaise with publishers in relation to distribution issues. Monitor warehouse stock levels of key Dubray promotional titles for eCommerce. Retail Support Maintain constructive relationships with the shop managers via store visits and regular communication. Work with Retail Ops as required to ensure optimum store layout for maximising sales. New store stock planning and ordering. Sales analysis Create weekly bestseller reports and monitor sales of bestselling and promotional titles. Undertake regular Nielsen analysis to ensure all sales opportunities are maximised. Analyse sales and forecast demand for key titles and seasons, including overseeing creation of the annual Order Factors by the Buying Administrator. Systems Develop working knowledge of Easons AX system and its interactions with Dubray systems. Support Retail Operations colleagues in carrying out AX functions. Work closely with IT on to improve current systems and associated reporting. Marketing & Promotions Attend publisher meetings and help to develop promotions. Collaborate with the Marketing Manager to decide on promotional titles and ranges. Collaborate with the Marketing Manager and eComm team to plan curations and display schedules online. Assist with events/festival ordering, preparation & execution. Key skills for this role: Excellent book knowledge and awareness of the Irish book trade,suppliers, and processes. Aptitude for forecasting titles/ ranges/ promotions for specific sell-out periods Sales-focused approach & strong commercial drive. Analytical and IT skills, with intermediate level Microsoft Excel required at a minimum. Adaptability, particularly re: working across multiple systems and teams. Ability to manage time and work to deadlines. Accuracy and attention to detail. Ability to communicate confidently and constructively. People management skills. Ability to work well as part of a team and make a positive contribution to the workplace. Full drivers licence preferable but not essential.
