We are seeking a dynamic, detail-oriented Event Planner to join our team on a temporary basis, with the opportunity to transition to full-time. This role is ideal for a motivated professional who thrives on organizing engaging events, managing logistics, and creating memorable experiences that connect our community and support our mission.
What You'll Do:
- Plan, coordinate, and execute high-profile events such as The Big Party , Daniel Tiger Be My Neighbor Day , screenings, President's Circle gatherings, and other donor and community engagement activities.
- Facilitate pre-event planning meetings with staff, vendors, and partners to establish goals, roles, and timelines.
- Manage all event logistics, including venues, catering, permits, contracts, audiovisual/media support, parking, and registration.
- Develop and manage event budgets, track expenses, and ensure accurate financial reporting.
- Coordinate vendor relations: secure bids, negotiate agreements, and ensure contract compliance.
- Oversee onsite event operations, including volunteer coordination, guest experience, and vendor support.
- Create and distribute event communications such as invitations, RSVP tracking, event signage, and follow-up correspondence.
- Support development and donor relations activities through donation tracking, acknowledgement, and stewardship initiatives.
- Collaborate across departments to align events with organizational goals, outreach, and promotional strategies.
- Conduct post-event evaluations, prepare summaries, and recommend improvements for future events.
What We're Looking For:
- Strong knowledge of event planning, fundraising strategies, vendor coordination, budgeting, and on-site operations.
- Proven ability to manage multiple large- and small-scale events simultaneously with precision and attention to detail.
- Excellent communication skills for collaborating with vendors, donors, partners, and internal staff.
- Experience with donor databases (e.g., Revolution CRM, Salesforce, iFolio) and event management tools (e.g., Eventbrite, Constant Contact) preferred.
- Ability to work evenings, weekends, holidays, and occasional overnight travel as required.
- Proactive problem-solving, leadership, and flexibility to adapt to changing priorities.
- Bachelor's degree required; advanced degrees or additional administrative experience preferred.
