Sommaire du poste
Relevant du directeur des relations de travail et avec les employés, cette personne assure un soutien administratif et de coordination essentiel au bon fonctionnement de l’unité. Elle veille à la gestion efficace des dossiers, des échéanciers, des réunions et de la documentation, tout en traitant des renseignements confidentiels avec professionnalisme et discrétion.
Elle joue un rôle central dans l’organisation administrative du service en assurant le suivi de divers dossiers, la préparation de documents et de rapports, la mise à jour de registres et de bases de données, ainsi que la coordination des communications avec les intervenants internes et externes. Elle fournit également des renseignements généraux sur les politiques et procédures de l’Université et contribue à la qualité et à l’exactitude des documents administratifs.
Principales responsabilités
- Assurer le suivi administratif de divers dossiers et documents confidentiels.
- Organiser les réunions, préparer les ordres du jour, rédiger les procès-verbaux et assurer le suivi des actions.
- Gérer les calendriers, les priorités et les échéanciers du service.
- Préparer, réviser et mettre en forme divers documents, rapports et présentations.
- Maintenir à jour les dossiers, registres et bases de données.
- Répondre aux demandes de renseignements générales et orienter les clients internes vers les ressources appropriées.
- Coordonner les activités administratives liées aux comités, aux formations et aux événements du service.
- Collaborer avec les différentes unités de l’Université et les partenaires externes afin d'assurer une circulation efficace de l'information.
Profil recherché
- DEP ainsi que 5 ans d'expérience pertinente
- Excellentes aptitudes en organisation, coordination et gestion des priorités.
- Capacité à gérer simultanément plusieurs dossiers dans un environnement dynamique.
- Rigueur, souci du détail et grande fiabilité dans le traitement de l’information.
- Sens du service à la clientèle et habiletés relationnelles développées.
- Discrétion et professionnalisme dans la gestion d’informations confidentielles.
- Excellente maîtrise de la suite Microsoft Office.
- Excellente maîtrise du français et de l’anglais, à l’oral comme à l’écrit.

Position Summary
Reporting to the Director, Labour and Employee Relations, this position provides essential administrative and coordination support to ensure the efficient operation of the unit. The incumbent is responsible for managing a variety of administrative processes, coordinating meetings and schedules, maintaining records and documentation, and handling confidential information with professionalism and discretion.
The role serves as a key administrative resource for the department by coordinating files, preparing documents and reports, maintaining databases and records, and facilitating communication with internal and external stakeholders. The incumbent also provides general information regarding University policies and procedures and contributes to the accuracy and quality of administrative documentation.
Key Responsibilities
- Coordinate and monitor a variety of administrative files and confidential documents.
- Organize meetings, prepare agendas, record minutes, and follow up on action items.
- Manage calendars, priorities, and deadlines for the unit.
- Prepare, edit, format, and distribute reports, correspondence, and other documents.
- Maintain accurate records, databases, and filing systems.
- Respond to general inquiries and direct clients to appropriate resources.
- Coordinate administrative activities related to committees, training sessions, and departmental events.
- Liaise with University departments and external organizations to ensure effective communication and information sharing.
Qualifications and Skills
- DEP and 5 years related experience
- Strong organizational, coordination, and time-management skills.
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
- High level of accuracy, attention to detail, and reliability.
- Excellent customer service and interpersonal skills.
- Ability to exercise sound judgment and maintain confidentiality.
- Proficiency with Microsoft Office applications and other office technologies.
- Excellent written and verbal communication skills in both English and French.
