The Radiology Scheduling Specialist plays a crucial role in ensuring the efficient operation of the radiology department by managing appointment scheduling, patient communications, and administrative tasks. This position acts as a vital link between patients, radiologists, technologists, and other healthcare professionals to facilitate timely and accurate diagnostic imaging services. Key Responsibilities
Schedule and confirm patient appointments for various radiological exams. Welcome patients, families, caregivers, and visitors warmly; answer phones and handle messages professionally. Coordinate imaging procedures across multiple modalities such as X-ray, CT, and MRI. Optimize daily workflows to minimize patient wait times and maximize equipment utilization. Assist patients and caregivers with completing necessary paperwork including medical history, medications, and insurance information. Maintain accurate patient records and imaging documentation. Verify insurance coverage and obtain required authorizations. Support billing processes and claims submission as needed. Provide clear instructions regarding exam preparation and follow-up care. Communicate effectively with radiologists, technologists, and nursing staff. Ensure compliance with HIPAA and safety protocols. Manage inventory and order supplies for the department. Respond promptly to imaging requests, gathering all necessary information. Build strong relationships with referring healthcare providers and prepare required documentation in compliance with regulations. Adapt to changing patient schedules and provide appointment reminders. Assist patients with way-finding and transportation when necessary. Maintain a positive, service-oriented attitude with patients, families, staff, and coworkers. Help orient new staff, volunteers, and students. Contribute to cost reduction and productivity improvements. Perform light housekeeping to maintain a clean environment. Demonstrate flexibility and resourcefulness in a fast-paced, dynamic setting. Education and Experience High school diploma or GED required. Preferably two years of experience in a medical office or radiology environment. Requirements
Familiarity with medical terminology and insurance processes. Experience with radiology information systems (RIS) and electronic health records (EHR). Proficiency in Microsoft Word, Excel, Windows, and Outlook. Strong organizational skills with the ability to prioritize and work independently. Effective written and verbal communication skills. Ability to present information clearly in one-on-one settings. Flexibility and willingness to learn and adapt for efficient department operations. Problem-solving skills for standardized situations. Attention to detail and accuracy. Ability to relate professionally and cooperatively with others. Capability to perform essential job functions with or without reasonable accommodations.
