TITLE: Student Services Secretary
REPORTS TO: Executive Director of Student Support Services
EVALUATION: Annually
SUPERVISES: N/A
261 work days (works school vacation weeks and summers, plus all student days)
Position to start full-time 7/1/26, with part-time cross training starting as early as April 2026. Hours for training are flexible between April to June.
GENERAL SUMMARY: Responsible for the management of district wide student files such as: Special Education , 504, Foster Care, McKinney-Vento and all court ordered placements, as well as the maintenance of the appropriate database for each.
QUALIFICATIONS (SKILLS/EXPERIENCE/TRAINING REQUIRED):
  • High school diploma or equivalent
  • Five years experience in any special education or related office
  • Experience with student databases
  • Knowledge of special education software
  • Ability to interface with contractors, service providers, parents and education related government agencies

ESSENTIAL JOB FUNCTIONS:
  • Maintain and review student compliance on DOE database
  • Maintain budget encumbrances
  • Coordinate transportation services special education students
  • Track and verify special education services and verify appropriateness of Medicaid/Catastrophic aid billing
  • Order necessary materials supplies and equipment For district office and all three district schools
  • Serves as a liaison between school staff ,parents and director of Student services,
  • Maintain the confidentiality of all student files records
  • Answers all coming calls for Student services
  • Disseminate information to all student services staff regarding workshop seminars and coursesMeet regularly with student services director review schedule and maintain calendar of all necessary meetings
  • Represent District as needed at statewide Medicaid, catastrophic a and NHSEIS training sessions
  • Organize and maintain SAU student services files and ensure their accuracy
  • Communicate with the Accounts Payable Department about purchase orders, encumbrances etc
  • Communicate with the Human Resources Department about contractors and employee processing

OTHER DUTIES AND RESPONSIBILITIES:
  • Able to work independently and exercise judgment, decisiveness and creativity
  • Must be able to multitask and be flexible to meet the varying needs the school staff students, parents and office visitors
  • Maintain positive and respectful interpersonal relationships with Administrators, staff and the general public.
  • May be expected to occasionally travel to each school for meetings
  • Performs other related duties as required by supervisor.
