Works closely with: Founder-Director, Ops/Tech, Sales and Student Support Team as needed
Location: Remote (UK time zone)
Contract: Part-time employee (0.6 FTE), or freelancer retainer
Start: ASAP, with paid practical test and paid trial period
Role purpose
Publish consistently at high quality while protecting and strengthening the Founder-Director's distinctive voice. Combine excellent writing and editing with reliable operational execution inside Zoho Marketing Automations and CRM.
Why this role is different
This is not generic copywriting. You will work with high standards, specialised subject matter, and a founder-led voice. You'll help turn ideas, notes, transcripts, and drafts into finished assets that support bookings and conversion, and you will ship those assets safely through automation.
The operating model (how we actually work)
Most weeks follow this pattern:
You draft first: strong structure and CTA logic over perfect polish.
Founder-Director reacts: sometimes light edits, sometimes heavy rewrites (40 to 70% can happen).
You consolidate and ship: integrate changes into a cohesive final version, then build, QA, and deploy.
Some weeks the Founder-Director will not have time to react. You must be able to write end-to-end and ship independently using established voice rules.
Weekly time split (typical)
1.5 days: Current comms
Weekly broadcast email
Weekly blog post (repurpose-first)
Student comms (minimum viable standard below)
1.5 days: Sequences and infrastructure
Implement and optimise the 30-day post-webinar conversion sequence first
Then build and deploy the 12-month nurture sequence
Then complete review and refresh of student comms (templates, cadence, segmentation, triggers)
Automation and CRM operations: About 20% of the role, embedded into delivery.
Key responsibilities
1) Weekly marketing email(s)
Draft the first version each week with strong structure and a clear CTA.
Provide subject line options and opening options when helpful.
Integrate founder edits or rewrites into a final, send-ready email.
Build, test, and send the campaign in automation using brand-controlled templates and a QA checklist.
2) Weekly blog post production (repurpose-first)
Convert raw material (notes, transcripts, existing articles, webinar content) into publish-ready blog posts.
Improve structure, clarity, credibility, and reader flow.
Coordinate with Marketing for publishing workflow in WordPress.
3) 30-day post-webinar conversion sequence (first priority)
The Founder-Director may draft the initial 30-day sequence quickly. Your job is to turn it into a high-performing, safely deployed automation.
You will:
Edit, tighten, and structure the draft while preserving voice and strengthening conversion logic.
Build the sequence in automation with correct naming, UTMs, timing, and rules.
Set up segmentation, exclusions, and suppression logic, validating it against CRM fields.
Run end-to-end QA, including test contacts through the journey and verification of timing, links, rendering, and personalisation fallbacks.
Monitor performance after launch and implement structured optimisations once there is sufficient data.
4) 12-month nurture sequence (second priority)
Build a long-term nurture library (weekly or twice weekly cadence) in modular form.
Repurpose intelligently rather than duplicating blog content.
Create a maintainable system for extending and refreshing the library.
5) Student, graduate, and therapist comms
Draft and refresh internal communications for students and alumni.
Improve tone consistency, clarity, and template quality.
Minimum viable standard: at least one planned student communication per month, plus ad-hoc comms as directed by Marketing Lead (within capacity)
6) Editing and polishing support
Improve drafts from the team when needed.
Tighten structure, reduce fluff, strengthen persuasion, and preserve integrity.
7) Marketing automation and CRM execution (required)
Build emails from brand-controlled templates, format, insert links, add personalisation fields, tag, schedule, test, and send.
Validate segmentation logic and spot-check records in CRM to ensure correct audience selection.
Operational requirements:
QA for every send: test sends, link checks, mobile rendering check, correct audience and exclusions, correct tracking.
Enforce UTM and campaign naming conventions consistently.
8) Performance review and optimisation (defined, not endless tinkering)
Weekly: monitor deliverability and engagement basics (opens, clicks, unsubscribes, complaints).
Monthly: run a structured sequence optimisation cycle, improve the two weakest emails, document changes and impact.
Provide practical insights to Marketing focused on decisions and improvements.
Commitment to clinical learning (important)
This is a specialist domain. To write effectively, you must develop fluency in our evidence-based model and its language.
We expect an ongoing learning commitment of around 2 hours per week (reading and/or reviewing recommended materials). This can be done in your own time, but it is part of what "good" looks like in the role.
What success looks like (first 3 to 6 months):
Weeks 1 to 4
Weekly broadcast and weekly blog shipped consistently.
Clear, practical voice rules established and used.
QA and tracking discipline applied from day one.
Zero operational mistakes in sending and segmentation.
Weeks 5 to 10
30-day sequence edited, structured, built in automation, fully QA'd, and live.
Post-launch monitoring in place.
First optimisation actions implemented when there is sufficient signal.
Weeks 11 to 24
12-month nurture sequence built and deployed in modules.
Student comms review and refresh completed with improved templates, cadence, and targeting.
Monthly optimisation cadence established for sequences.
Required skills and experience:
Essential
Excellent writer-editor who can preserve and strengthen a founder voice.
Comfortable producing first drafts fast, then integrating heavy founder rewrites.
Experience writing marketing emails and longer-form content.
Strong operational competence inside marketing automation and CRM systems.
High QA discipline and attention to detail.
Calm under deadlines and comfortable when timelines compress.
Direct experience shipping inside Zoho tools.
Strongly preferred
Experience building conversion sequences and long-form nurture systems.
Experience in education, training, therapy, coaching, or professional services.
Compensation approach:
Employee, part-time (0.6 FTE, 3 days/week):
Initial: £28,000 pro-rata
After successful 6-week trial: £32,000 pro-rata
Freelancers may propose a day rate or monthly retainer. We prioritise proven ability to ship in this workflow over credentials.
