With approximately 300 employees across multiple locations, technology plays a critical role in our reservations, dispatch, fleet operations, customer service, finance, human resources, and administrative functions.
We are seeking an experienced IT professional who can maintain our existing technology infrastructure while helping the company identify and implement new automation and artificial intelligence solutions.
Position Summary The IT Systems Administrator & AI Implementation Specialist is a hands‑on position responsible for maintaining the company’s IT infrastructure, supporting employees, administering Microsoft 365, managing networks and security, and improving the reliability and efficiency of our technology systems.
This role will also evaluate business processes, map operational workflows, and assist with implementing AI‑powered tools, system integrations, and automation across departments. The ideal candidate understands both traditional IT administration and the practical application of AI within a growing, multi‑location organization.
This is an on‑site position based in Las Vegas, with occasional travel to our Los Angeles office.
Key Responsibilities IT Systems Administration and Support
Provide day‑to‑day technical support for approximately 300 employees across multiple locations.
Install, configure, maintain, and troubleshoot desktops, laptops, printers, mobile devices, tablets, and other hardware.
Administer Microsoft 365, including Exchange Online, Teams, SharePoint, OneDrive, and user accounts.
Manage Active Directory, Microsoft Entra ID, Group Policies, user permissions, and access controls.
Maintain network infrastructure, including firewalls, switches, wireless access points, VPNs, and internet connectivity.
Monitor system performance, backups, endpoint security, antivirus protection, and multi‑factor authentication.
Support business applications, reservation and dispatch systems, phone systems, payroll, HR, accounting, fleet management, and operational software.
Coordinate with third‑party IT vendors, software providers, telecommunications companies, and managed service providers.
Maintain accurate IT asset inventories, software licenses, warranties, access records, and technical documentation.
Recommend and implement technology improvements, security controls, and industry best practices.
AI, Automation, and Systems Integration
Evaluate current business processes and identify opportunities to use AI, automation, and system integrations to improve productivity and customer service.
Map workflows across reservations, dispatch, transportation operations, fleet maintenance, finance, HR, sales, and customer support.
Develop an AI and technology implementation roadmap based on business priorities, operational needs, costs, security, and expected return on investment.
Research, test, recommend, and implement AI‑powered business tools.
Assist with implementing AI solutions for customer communications, call handling, reservation support, reporting, document processing, data analysis, and internal knowledge management.
Build or coordinate automated workflows using platforms such as Microsoft Power Automate, Power Apps, Copilot Studio, Azure AI, or comparable tools.
Integrate business platforms through APIs, webhooks, middleware, or approved third‑party automation tools.
Work with department leaders to document requirements and translate operational challenges into practical technology solutions.
Create dashboards and automated reports that provide management with accurate operational and financial information.
Establish appropriate security, privacy, access control, and data governance standards for AI tools.
Train employees on approved AI applications, automation tools, cybersecurity practices, and responsible use policies.
Monitor implemented solutions, measure performance, and recommend ongoing improvements.
Prevent employees from introducing unauthorized AI applications or uploading confidential company or customer information into unapproved systems.
Required Qualifications
Minimum five years of experience in IT systems administration, network administration, or a comparable technical role.
Strong knowledge of Windows Server and Windows 11.
Demonstrated experience administering Microsoft 365 and Active Directory.
Solid understanding of TCP/IP, DNS, DHCP, VPNs, firewalls, wireless networking, and switching.
Experience supporting cloud‑based applications and business software.
Experience documenting and mapping business processes or technical workflows.
Familiarity with AI‑powered business applications, workflow automation, or systems integration.
Ability to evaluate new technology and manage implementation projects from planning through deployment.
Strong troubleshooting, communication, documentation, and customer‑service skills.
Ability to manage multiple priorities, work independently, and respond effectively in a fast‑paced operating environment.
Ability to explain technical and AI‑related concepts to nontechnical employees and management.
Preferred Qualifications
Experience supporting organizations with multiple office locations.
Experience in transportation, logistics, fleet management, hospitality, travel, or other 24/7 operating environments.
Experience with Microsoft Intune or another endpoint‑management platform.
Experience with Microsoft Power Platform, Copilot Studio, Azure AI, OpenAI‑based business solutions, or similar technologies.
Experience integrating software through APIs, webhooks, or middleware platforms.
Familiarity with data visualization and reporting platforms such as Microsoft Power BI.
Familiarity with virtualization technologies such as Hyper‑V or VMware.
Experience with cybersecurity tools, data‑loss prevention, identity management, and security best practices.
Experience creating AI‑use policies, data‑governance standards, or employee technology‑training programs.
Microsoft, Cisco, CompTIA, Azure, cybersecurity, or AI‑related certifications are a plus.
