Position Overview The Sales Coordinator plays a critical role in supporting both the sales and production functions within a structural wood truss manufacturing operation. This position is responsible for coordinating project timelines, managing customer orders, ensuring accurate scheduling of production and deliveries, and serving as a key point of communication between customers, sales representatives, design teams, and the manufacturing floor.
The ideal candidate is highly organized, detail-oriented, and experienced in a fast-paced construction or building materials environment.
Key Responsibilities Scheduling & Production Coordination
Develop and maintain production schedules to ensure efficient manufacturing and on-time delivery.
Coordinate closely with production supervisors to align workflow with capacity and priorities.
Schedule deliveries in coordination with logistics and dispatch teams.
Monitor job progress and proactively address potential delays or scheduling conflicts.
Adjust schedules based on changes in customer demand, production issues, or supply constraints.
Sales & Customer Support
Assist sales representatives with order entry, quoting, and follow-up communication.
Serve as a primary point of contact for customers regarding order status, timelines, and changes.
Review incoming orders for completeness and accuracy, including truss specifications, delivery requirements, and job details.
Coordinate with design teams to ensure timely completion of truss layouts and approvals.
Maintain strong customer relationships by providing timely, professional service.
Order & Data Management
Coordinate job orders within internal systems (ERP, MRP, or industry-specific software such as MiTek.)
Maintain accurate records of customer orders, delivery dates, and production status.
Generate reports related to scheduling, order backlog, and production timelines.
Ensure proper documentation is maintained for all projects.
Cross-Functional Communication
Act as a liaison between sales, design, production, and delivery teams to ensure seamless project execution.
Participate in production meetings and provide updates on job priorities and deadlines.
Communicate changes, delays, or issues to relevant stakeholders in a timely manner.
Qualifications Education & Experience
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
2–5 years of experience in scheduling, sales coordination, or operations in manufacturing, construction, or building materials.
Experience in truss manufacturing or knowledge of structural components is highly preferred.
Skills & Competencies
Strong organizational and time management skills with the ability to multi-task.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office (Excel, Outlook, Word); experience with ERP systems preferred.
Ability to read and interpret construction drawings and specifications (preferred).
Detail-oriented with strong problem-solving abilities.
Ability to perform effectively in a deadline-driven, team-oriented environment.
Working Conditions
Primarily office-based within a manufacturing facility environment.
Frequent interaction with production floor personnel and outdoor delivery coordination.
May require occasional overtime based on workload and production demands.
