Job Title
Operations Workflow & Automation Specialist (Slack + Trello)
About Us
We are a fast-growing fashion and e-commerce brand based in the GCC. As we scale across online sales, retail, logistics, and marketing operations, we require a structured internal workflow system to improve clarity, accountability, and efficiency across all departments.
Objective
Design and implement a scalable internal workflow and communication system using Slack and Trello to streamline operations and improve cross-department coordination.
Scope of Work
Workflow Design
• Design structured workflows for the following departments:
Marketing & Content
E-Commerce & Development
Logistics & Warehouse Operations
Customer Service
Finance & Administration
• Map task flows between departments
• Define task ownership and accountability
• Create escalation and approval processes
Trello System Setup
• Create and structure the Trello workspace
• Build optimized boards for each department
• Define workflow lists (Backlog → In Progress → Review → Done)
• Create task and project card templates
• Implement labels, priorities, and tagging system
• Create management visibility dashboards
Slack Communication Structure
• Design Slack channel architecture by department
• Define communication rules and usage guidelines
• Establish alert and notification flows
• Set up leadership and reporting channels
• Improve clarity while reducing communication overload
Automation & Integration
• Build automations between Slack and Trello
• Configure task alerts and deadline reminders
• Automate workflow notifications and approvals
• Implement automation using:
Trello Butler
Zapier or Make (if required)
• Ensure the system minimizes manual follow-ups
SOP & Documentation
• Develop clear Standard Operating Procedures (SOPs) for:
Task creation and management
Department workflows
Communication protocols
Automation usage
Approval and reporting processes
• Provide team usage guidelines and best practices
Team Adoption & Usability
• Ensure workflows are simple and easy to follow
• Create accountability systems that teams will use consistently
• Prevent task duplication and miscommunication
• Design the system for scalability as the company grows
Deliverables
• Fully structured Trello workspace and boards
• Slack communication architecture
• Automated workflow system
• Department workflow maps
• SOP documentation and usage guide
• Recommendations for future scaling and improvements
Required Experience
• Proven experience designing operational workflows for companies
• Strong expertise with Slack and Trello
• Experience with workflow automation tools (Zapier, Make, Butler)
• Experience creating SOPs and process documentation
• Ability to design scalable systems for growing teams
Preferred (Bonus)
• Experience with e-commerce or retail operations
• Shopify workflow understanding
• Logistics and fulfillment process experience
• Experience working with scaling companies
